SUMMARY
OneCaribbean (OneCaribbean) is the online community for the Caribbean Tourism Organization.
It is an Intranet (a network within the organization as opposed to the Internet which is the world wide network)
dedicated to enhancing and facilitating communication within the CTO.
There are some sections of the site that are open to non-members and these form the Extranet. We intend not
only to disseminate important information to our membership, but also to provide an
extensive online communication tool for all travel professionals interested in the Caribbean.
OneCaribbean is also a self-updateable site. All administration of the site, from uploading new documents,
to maintaining membership lists and details, can be performed through the site, by members of the site.
How OneCaribbean Works
OneCaribbean is structured around groups. There is one large encompassing group called the OneCaribbean Communityand a set of smaller, diverse groups. These groups have their own information centers, calendars,
discussion areas and membership data. Everyone who successfully applies to OneCaribbean belongs to the overall group -
the OneCaribbean Community, and has access to that group's Information Centre, Calendar, Discussion areas and can
view other groups that are open to new members. If you are a current member of the CTO (public sector, allied or corporate)
you will have access to information that is barred to non CTO members.

Website Layout
Except for the home page, each web page in OneCaribbean is laid out in a similar manner.
Along the top of the page is the OneCaribbean logo, and a CTO (or virtual group) logo.
Below that on the left, is the personal navigation section. If you are logged in, you will see your name, a logout button,
and links to my email and help. If you are a new visitor or are not logged in, you will see a welcome message,
a "join us online" link, and a help link.
On the right is the title of the section you are in, and then a list of "breadcrumbs" or shortcuts
detailing exactly where you are in the site. Below that is the main tabular navigation.
Each tab takes you to a main section within OneCaribbean.
The main part of the screen is divided into three parts. The left hand side is for extra navigation and quick links.
When you are within a virtual group, it will first show you a mini navigation, allowing you to select the "information",
"people", "calendar" or "discussion" section for that particular group. Then there is usually a selection of documents,
events, etc and a search box.
The middle part of the screen depends on where you are in the site. Below the main feature of the page are gray links.
These will change depending on your access level, and they are covered in the advanced section of this manual.
The right part of the screen is for advertisements, and the bottom has copyright information.

MEMBERS
Becoming a member
How do I join OneCaribbean?
You can apply to join OneCaribbean from the site home page at http://www.onecaribbean.org/.
Click on "Find out how to get much more from the Caribbean" and fill out the application form to join the
OneCaribbean Community group.
On the application form, you need to enter your first and last names, company name, email address and telephone number.
Your email address is very important as it is used to send you a confirmation message when your application is accepted.
Then select your membership type. Current members of the Caribbean Tourism Organization are asked to select from a
list of all the different membership types (public sector, allied, corporate). Non-CTO members are asked to broadly
classify their business. You can choose if you wish your details to be kept private (so that no other
OneCaribbean users can view them). You might be asked to provide additional details, including your reason
for applying. An administrator will review and respond to your application. If you are accepted, you will
receive notification of your acceptance by email, along with the email address and password that you can use
to login to the site and all groups you may subsequently join and access the extra information.
How do I join a group?
You can join a group directly from the site home page (http://www.onecaribbean.org/). Simply click "join us"
next to the group you would like to join. Note that not all groups are listed on this page
and not all groups are open to new members.
You can also join a group from your own personal Home Page that you access if you are already a member of the
OneCaribbean Community. Your personal home page lists the groups you belong to and allows you to join other groups.
Your application to join a group goes directly to the group's administrator who will send you an email
notifying you of your acceptance.
If I join OneCaribbean, do I have to join groups separately, or will I automatically be put in them?
When you join OneCaribbean, you automatically belong to the group - OneCaribbean Community. You have to then apply to
join other groups you may be interested in, once they are accepting new members.
Can I join a group without joining OneCaribbean?
Yes, you can. As a OneCaribbean member, you will have access to more information than you would as only a member of a group.
How do I leave OneCaribbean or a group I have joined?
You can unsubscribe from a group from your personal home page. Click on "unsubscribe" on the group you wish to leave.
How many groups can I join? Is there a limit?
There is no limit to the number of groups you may join. The group's administrator decides how large the group
will be and who will be accepted as new members based on the purpose of the group.
Logging in
When you are accepted as a member to a group, you will receive an email with your login details (your email
address and a random password). You should return to the OneCaribbean site and click "log in" in
the top left hand corner. Simply enter your details and click "log in", and you will be taken to the "My Home"
section. Check the "Remember my details" if you would like your login details to be stored in a cookie,
so you won't have to re-enter them every time you revisit the site.
Once you are accepted as a member of any virtual group, the OneCaribbean look and feel will change slightly.
In the top left of the screen you will see your name, along with a "log out" and "my email" button,
and you will have a new reddish tab called "My Home".
Passwords
I forgot my password or username
Click on the login button, and choose "forgotten your password". Fill in your email address on
the "Email me my password" page, and you will receive an answer immediately.
How do I change my password?
On My Home, click on "membership details" and then "change my password" at the bottom of the page.
This will take you to your membership details page
where you can type in a new password (minimum of six characters). Click on "save"
at the bottom of the page.
Using My Home Page
This lists all your virtual groups, quick links to the information, people, calendar and discussion sections
of the group, the number of members and your role in the group (member, editor, senior editor). At the
bottom of the screen you can click on "join other groups", which takes you to the group listing in the
people section, filtered down to only those groups which you have yet to join.
Manage My Details
The left portion of the screen has links to six screens for entering further details. Except for the
membership details these pages will not be shown anywhere on OneCaribbean, and are only for the CTO's use.
You can leave these blank or fill them in. They may later be used by the CTO in it's promotions which could benefit you.
In brief, "membership details" is for the details which are shown to other OneCaribbean members.
Click "amend membership details" to change them. You can even change your preferred font size so
that all the pages will appear with bigger or smaller text.
"Company details" lists your office details.
"Personal details" lists your home details (all optional).
"Special interests" allows you to specify your areas of expertise or interest along with fields for travel
agents to enter their ID numbers.
"Upload photograph" allows you to upload a JPEG or GIF photo of yourself (at a specified size). This
could help you identify people you have met at OneCaribbean when you meet them in person.
Using My Email
How do I use onecaribbean.org email?
OneCaribbean has a built in email program, which allows you to have a onecaribbean.org email address
(like john@onecaribbean.org). This means you can receive and send email anywhere you are and from any
computer, you simply need to be logged into the site.
Clicking "my email" in the top left corner will take you to the email setup page, or directly to your inbox
if you have already set it up.
When you first click "my email," you'll see the "email preferences" page. First of all, request a
unique onecaribbean.org email address. After you've done this successfully, you can start reading
and writing email online! (You can change your email address by clicking "amend email preferences" at any time).
Now click on "my email" again and you'll go straight to your OneCaribbean inbox. This shows your new messages,
and you can use the checkboxes to delete them. Click on a message to read it, from whence you can reply,
forward or delete the message. Click "compose" to type a new message. Note that OneCaribbean does not have
any folders other than inbox, and so you can't store the messages you send or delete. There is also no address book facility.
Back in the email preferences, you can click "advanced email preferences". This shows your current reply-to or
forward settings, and the settings you will need to access your OneCaribbean from within your normal email client.
Clicking "edit advanced email preferences" allows you to setup a reply-to address. Whenever you send an email
address from the OneCaribbean site, this will be listed as the reply address, or a forwarding address
(all email to your OneCaribbean address is automatically forwarded to the chosen address, which might
be your normal home or work address).

INFORMATION CENTRE
The Information Centre is a hierarchy of categories containing documents. It is similar to Yahoo,
which is a hierarchy or categories containing websites. There is one overall Information Centre
for the OneCaribbean Community and several smaller information centers for each group. On the left side of the
screen, you will see the top five downloaded documents, a search box and the most recently uploaded document.
Access a document
How do I access a document?
If you enter the Information Centre through OneCaribbean Community, you will see an introduction to the
section and a list of categories. Some of these categories are accessible to everybody, signified by .
The icon means that a category is restricted, but you have access because you a member.
The icon means you do not have access.
Click on a category to enter it. The shortcuts at the top of the page (above the coloured tabs,
where it says > OneCaribbean > Information) change to reflect your current location. You can use these to click
back to a higher category.
Within a category, you may see further sub-categories or documents or both. You can click on the title to see more details,
or the icon to download the document.
This will either take you straight to the document (if it is another web page) or will popup a box
that asks you to open or save the document. The icon
indicates a document that has been uploaded within the last 7 days.
When you click on a document's title, you will see the full document view. This shows the title of the document,
its abstract (brief summary), size, type, keywords (used for searching), who uploaded it and when, and how
often it has been downloaded (since it was first uploaded). Click "browse category" at the bottom of the
page to return to the listing of documents in that category.
What information can I access?
The information you can access depends on your access rights on the site. As a member of any group,
you can access all the information in that particular group's document center (click on the information
center tab on the left hand side of the screen). If you are not a member of a group, you cannot
access that group's information unless it is open to the wider group.
Search for a document
How do I find a document?
On the left side of the screen, you will see a search box that allows you to search through the title, keywords and
abstracts of documents. Enter a word or words and press "GO". The results are ranked according to how many times
the word/s appear in the documents. Your level of membership determines how many documents are search with your request.
For example, only the information centers of those groups you belong to are searched with your query.
Using the Information Centre within a group
The Information Centres within a group work in the same way. If you are inside a group, you'll see your group's name
on the left hand side with "information, calendar and discussion" categories. Click on "information centre"
to access that group's documents.

PEOPLE
This section lists all the people and virtual groups within OneCaribbean. The main page of the section links to four sub pages.
The "CTO members" page shows all Caribbean Tourism Organization members who have registered to OneCaribbean.
The "Entire OneCaribbean membership" page shows all OneCaribbean members. The former list will probably be more
heavily promoted in the site's future development, so this is one of the benefits of being a CTO member within the
OneCaribbean community. The people in both of these lists can be sorted, or viewed several letters at a time
(by using the A-Z links in the upper right corner).
The page "Summary of OneCaribbean membership" provides statistical data on the different membership types within
OneCaribbean, including a breakdown of CTO and non CTO members.
The Virtual groups page lists OneCaribbean's virtual groups, along with a short description and the number of
members (note that a group can select not to be shown in this list). If you are a member of a group, it will show
your role. If the group is accepting applications, you will have the opportunity to join. Clicking on a group's
name will show more detailed information, including the group's members.
Connect with other members of OneCaribbean Community
How do I find someone on OneCaribbean?
You can connect with other members through the People section. From there, you can click on the
name to see more details about the member, including company name, email address and telephone number.
This information will be visible only if a person has chosen not to keep their details private.
Can I form a new group on the site?
Only the Intranet Administrator has the ability to form new groups. As a member of OneCaribbean,
you can suggest a new group that you would like to see on the site. If you want to suggest a new
group, you must also be prepared to be group administrator (very easy job) for that group.

Within any part of the people section, the left hand side of the page shows the five most recent people who joined.
There is a search box to search by name, and a link to the most recently created group. Note that if
you are within a virtual group, it will only show the virtual group's most recent joiners, and will not
show the most recent group.

CALENDAR
How do I find an event?
The calendar section displays events. When you first click on it, it will show seven days from the date by default.
This can be changed using the QuickBrowse menu. You can select a time-period and date, then click GO. If you
display a "single month" the day you select is ignored, and likewise for a "single year" view.
Further navigation through time is possible using the calendar popup. If your browser is capable of layers,
click on the
icon and a small calendar will appear. You can click on a date to show the events from that date,
or you can move forward and back through the months. This also shows the days of the week.
The Standard View lists one event at a time, but you can switch to a daily view (by clicking "view by date"
at the bottom). If an event stretches over multiple days, this view will show it multiple times.
Clicking on the "printable calendar" link brings up a window with a stripped down version of the current calendar view,
which can be printed using your browser's print button.
Clicking on an event's title will show further details about the event, including external links and contact
details of the organiser or administrator of the event. Clicking "browse events" will return to the calendar view.
Within any part of the calendar section, the left side of the page shows the newest five events entered into the system.
A search box allows you to search by event name, and a link to the next event as drawn from the database. Note that if
you are within a virtual group, it will only show the virtual group's events here.

DISCUSSION
Join a chat or forum
How do I find a chat or discussion?
Links to forums and chats can be found on the 'discussion' main page. Forums are message boards, where you can read
and respond to messages at any time. Chats are real-time discussions and are more informal and social.
When you click on 'Choose a forum" you will be taken to the forums list, where you'll see the description of each forum,
the number of posts and the most recent post. Clicking on a forum will show you the subjects of the messages that have
been posted to that forum.
Messages to forums are grouped together in threads. A new question to the forum is considered a new thread and
replies to that message will appear underneath it in the forum view since they are part of the same thread.
As a forum participant, you can create new threads. Click "create new thread" and fill in the title (or question)
and body of your message. Click on anyone else's message to see its details. Click "reply to message" to respond.
Forums are therefore useful for getting help from a group of users, perhaps experts in a certain topic. People
can ask questions at any time, and the experts will reply at their convenience.
Chats on the other hand happen in real time. If you "choose a chat" from the main discussion page, you will
see a list of currently available chats, along with the number of people are participating. When you click on the
title of the chat, your browser will search for Macromedia Flash Player 5 which is used in the chat room.
If you don't have Flash 5, you will be given a link to download it. If you do have it, you will be automatically
connected to the chat. The box on the left of the chat shows the current conversation (it will be blank when you
first enter). The box on the right shows the current chatters (you can click on their names). You can type your
own contribution at the bottom. As soon as you press "Say", your text will appear to all the other chatters.
Please be polite and considerate as this is an unmoderated medium.
Within any part of the discussion section, the left hand side of the page shows latest forums and chats to be created.
There is also a search box to search forum messages. Note that if you are within a virtual group, it will show only the
virtual group's forums and chats here. Clicking "discussion index" at the bottom at any time takes you back to the main
discussion page.

LISTINGS
Each virtual group can provide data listings in the listings section. These are usually
links to external sites where there are archives of information and resources.
Other links are internal OneCaribbean links, such as the CTO Allied membership list.
